To celebrate the 10th anniversary of CoursePro, we asked 10 of the happy people behind the helpful software for their top tips for getting the most out of the system. Whilst we were chatting, we also found out why they love working for CAP2.

Use text messaging to chase for payments, but once a term actively call or meet with the parents to see how they are finding the classes.

Top Tip

If you want to make some changes but you aren’t sure how it will work, you can always try them on your training or test site first. It’s your risk-free environment where you can try out new terms, levels or pricing options and see if you like your changes before implementing them on your live site.

My top tip is to create tone of voice guidelines for your business (think about the way you speak and put that into a document) and ensure
that your contact triggers within CoursePro match this. By doing this, you’re making your customers really feel they know you through your use of words and you’re reiterating that engagement you give in every lesson and are showing you care. I love that as a parent of children on courses run through CoursePro I can see their progress via HomePortal. It’s a great way for me to help them practice outside of the actual lesson when we go for a fun swim or practicing cartwheels in the front room. That level of transparency, I think it’s just brilliant. Ensure you are making the most of HomePortal and promoting it to all your parents so they can access the same benefits as me; it is a real value-add!

As someone running a small business, working all hours of the day, sometimes you can feel a little isolated and it can be really beneficial to have a network of industry peers to learn from, help you overcome issues, and just generally be there when you need to sound things out. Luckily,
there is social media! Here are some great Facebook groups for swimming teachers that I would highly recommend getting involved with:

When cancelling a class, where possible, action at least 30 minutes before the scheduled start time so that CoursePro has enough time to process and send out all the required notifications to your customers.

Top Tip

In the Control Centre, using your mouse to right-click on a member and selecting “Open in new tab” is sometimes very useful if you want to look at both the member and the class at the same time.

Top Tip

You can get to a member’s class much quicker by going to the member’s profile, then clicking into their current class, then clicking on the class name. Easy!

My top tip would be to really get your customers to buy into HomePortal. The more parents you have on there, the easier your life will be. Ideas to help this are; regular customer emails prompting them to sign up if they haven’t already and to use it on a weekly basis, and have a member of the team go round the poolside during a lesson with a tablet and get customers that haven’t already to sign up there and then.

Top Tip

While the standard assessment grades pre-defined in your CoursePro work perfectly well, why not replace the default fair/needs practice/good/pass values with something more fun and personal to your business’ tone of voice? Something like good start/you’re making progress, keep practicing/you’re nearly there!/you did it! well done!

The functionality in CoursePro stays the same, while the customer-facing interface can become more engaging for your students, help motivate them, and put a smile upon their faces when they are checking their progress in HomePortal.
